MA.KOKORO handles personal data in accordance with the EU General Data Protection Regulation (GDPR) and Finnish data protection law. This policy applies to all MA.KOKORO services, including coaching, tours, and research support.

MA.KOKORO は、EU一般データ保護規則（GDPR）およびフィンランドのデータ保護法に従って、個人データを取り扱います。本ポリシーは、コーチング・ツアー・視察サポートを含む、MA.KOKOROの全サービスに適用されます。

2. What is collected, and why

Contact form

Name, email address, service of interest, and anything you write in the open field.
Purpose: replying to your enquiry and preparing the service.
Legal basis: steps prior to entering a contract (GDPR Art. 6(1)(b)).

Session records

Diagrams created during sessions, and minimal notes.
Purpose: delivering ongoing sessions and providing your materials.
Legal basis: performance of a contract (GDPR Art. 6(1)(b)).

Invoicing and accounting

Name, billing details, payment records.
Purpose: invoicing and bookkeeping.
Legal basis: compliance with a legal obligation (GDPR Art. 6(1)(c)).

About what is said during sessions

Coaching conversations can touch on how you are feeling. I do not record more of this than is necessary.

Sessions are never audio or video recorded. Notes are kept minimal, and I do not write down anything about health conditions or diagnoses. Diagrams are sent to you and then kept in a protected folder.

3. How long data is kept

  • Enquiries that don't proceed: deleted 12 months after our last exchange.

  • Session diagrams and notes: deleted 12 months after the final session, unless you continue.

  • Invoicing and accounting records: retained for the period required by Finnish accounting law (Kirjanpitolaki). This period cannot be shortened.

4. Who else sees your data

Your data is never sold, rented, or shared. The following services are used to deliver the work:

  • STUDIO — website and forms (Japan)

  • Zoho Mail — email correspondence

  • Google Meet — online sessions (Google Ireland Ltd.)

  • Holvi — invoicing and payments (Finland)

  • PayPal (Europe) — payments (Luxembourg)

Holvi, PayPal (Europe) and Google Ireland are all established within the EU. Japan has been recognised by the European Commission as providing an adequate level of data protection. Where a transfer outside the EU occurs, it relies on appropriate safeguards such as the EU Standard Contractual Clauses.

Session diagrams and notes are not stored in any external cloud service. They are kept on encrypted devices.

If I ever wish to write about a case publicly, I will ask your permission first and remove anything identifying. Nothing is published without your agreement.

5. Your rights

You have the right to access, correct, delete, restrict, port, or object to the processing of your data. Write to the address above and I will respond within one month.

If you believe your data has been handled improperly, you may lodge a complaint with the Finnish Data Protection Ombudsman (Tietosuojavaltuutetun toimisto, tietosuoja.fi).

6. Cookies

This site uses only the cookies necessary for it to function. No advertising cookies are used.

Basic visitor statistics come from the built-in feature of the website service (STUDIO). No personally identifying information is collected.

7. Security

Data is held on encrypted devices and on dedicated business accounts with two-factor authentication enabled. The operator named above is the only person with access.

Stored files are never named in a way that identifies a person or indicates a health condition. An encrypted backup is kept separately to protect against data loss.

8. Changes

If this policy changes, the date at the top of this page is updated. Ongoing clients are notified directly of any significant change.

セッション中に作成する図、および必要最小限のメモ。
目的：継続的なセッションの提供、および成果物のお渡し。
法的根拠：契約の履行（GDPR第6条1項b）。

請求・会計に関する情報

お名前、請求先情報、支払い記録。
目的：請求と会計処理。
法的根拠：法的義務の遵守（GDPR第6条1項c）。

セッションで話された内容について

コーチングでは、心の状態に関わることが話題になる場合があります。私は、こうした内容を必要以上に記録しません。

セッションの録音・録画は行いません。メモは最小限にとどめ、健康状態や診断に関する記述は残しません。作成した図は、あなたにお送りしたのち、保護されたフォルダで管理します。

3. 保存期間

  • お問い合わせのみで終了した場合：最後のやりとりから12か月後に削除します。

  • セッションの図とメモ：最後のセッションから12か月後に削除します。継続をご希望の場合は、その限りではありません。

  • 請求・会計書類：フィンランドの会計法（Kirjanpitolaki）に基づき、法定の保存期間のあいだ保管します。この期間は短縮できません。

4. 第三者への提供

個人データを販売、貸与、共有することはありません。ただし、サービス提供のために、以下の事業者のシステムを利用しています。

  • STUDIO — ウェブサイトとフォーム（日本）

  • Zoho Mail — メールのやりとり

  • Google Meet — オンラインセッション（Google Ireland Ltd.）

  • Holvi — 請求と入金（フィンランド）

  • PayPal (Europe) — お支払い（ルクセンブルク）

Holvi、PayPal (Europe)、Google Ireland は、いずれもEU域内の事業者です。日本は、欧州委員会により十分な水準の個人データ保護が認められている国です。EU域外への移転が生じる場合は、EU標準契約条項等の適切な保護措置に基づいて取り扱われます。

セッションの図とメモは、外部のクラウドサービスには保存しません。暗号化した機器のなかで管理しています。

また、事例として発信させていただく場合は、必ず事前に許可をいただき、個人が特定できない形にします。許可なく掲載することはありません。

5. あなたの権利

あなたには、以下の権利があります。行使をご希望の場合は、上記の連絡先までご連絡ください。1か月以内に対応します。

  • ご自身のデータへのアクセスを求める権利

  • 誤りの訂正を求める権利

  • 削除を求める権利（法定保存義務のあるものを除く）

  • 取り扱いの制限を求める権利

  • データの移行を求める権利

  • 取り扱いに異議を述べる権利

取り扱いに問題があると感じられた場合は、フィンランドのデータ保護監督機関（Tietosuojavaltuutetun toimisto, tietosuoja.fi）に苦情を申し立てることができます。

6. Cookies

本サイトは、サイトの動作に必要なCookieのみを使用します。広告のためのCookieは使用していません。

サイトの利用状況の把握には、サイト作成サービス（STUDIO）の標準機能のみを利用しており、個人を特定する情報は取得していません。

7. 安全管理

データは暗号化された機器と、二要素認証を設定した事業用アカウントで管理しています。アクセスできるのは、上記の運営者のみです。

保存するファイルには、個人が特定できる情報や健康状態を示す名称を用いません。データの消失を防ぐため、暗号化したバックアップを別に保管しています。

8. 変更について

本ポリシーを変更した場合は、このページの最終更新日を改めます。重要な変更がある場合は、継続中のお客様に個別にお知らせします。
